The Start Of a Business Letter 

A correctly structured business letter generally comprises the following segments:

1. contact information

In the left-hand margin of your business letter, include your contact information. This includes your full name, phone number, email address, and the city, state, and zip code of your residence. Here is an example of how to format your contact information:

[Your first name] [Last name], [Degree or certification, if applicable]

[Phone number] | [Email address] | [City], [State] [Zip code]

2. date

After your contact information, leave a space and then include the date of your letter. Write the month in full, followed by the day and the year. The common format for a date in a business letter is usually “Month Day, Year.”

3. Recipient’s contact information

After the date of the business letter, create a space. Then, on a new line, include the contact information of the recipient. You can format their information using the following template:

[Recipient’s first name] [Last name], [Degree or certification, if applicable]

4. Opening salutation

After including the recipient’s contact information, leave a space and then select a salutation to begin your business letter. Some common salutations used in business letters include:

5. The Body

6. Closure

After the body of the letter, leave a space and then select a closing salutation for your business letter. Some commonly used closing salutations in business letters include:

  • Thank you,

7. Your Signature

Leave two lines of space and proceed to sign your full name. If feasible, it is recommended to sign your name by hand. However, if that is not possible, you can use digital software and a computer mouse to create a signature. On the line below your signature, print your first and last name.
