How to Write a Resignation Letter – What you should not add and the perfect sample

Composing a resignation letter can be likened to the process of moving on from your current job. While having a face-to-face conversation with your boss may be challenging to arrange and time-consuming, opting for a written letter is often recommended.

This approach is not only stress-free but also saves time. Once you have officially accepted your new position and finalized the necessary paperwork, the only thing left to do before embracing your exciting new job is to submit your resignation letter to your current employer.

There is no need to unnecessarily complicate matters. A letter of resignation typically consists of four fundamental components:

1. Your Resignation And Date

There is no need to embellish or use fancy language at the beginning of your resignation letter. Simply state the position you are resigning from and the effective date. While you may have already discussed your reasons for leaving with your boss, there is no need to elaborate on them in the letter. Keeping it concise and straightforward is completely acceptable.

2. Show Appreciation

It is important to express gratitude to your employer for the opportunities provided and to reflect on the positive aspects of your experience. This applies regardless of your level of excitement about moving on. It is essential to maintain positive relationships and leave a lasting impression, as you never know when you might need a reference or future networking opportunities. By expressing appreciation and highlighting the valuable skills and knowledge gained during your time with the company, you can ensure a respectful and professional departure.

For instance:

I sincerely appreciate the opportunity I have been given to work here for the past 18 months. It has been a pleasure getting to know you and the rest of the team, and I am grateful for the experience of learning about marketing strategy and audience analysis. I am enthusiastic about utilizing these skills as I embark on the next phase of my professional journey.

3. The handover

Express your readiness to facilitate a smooth transition during the handover process. While there’s no need to provide extensive details or make unrealistic promises, a brief statement indicating your commitment to ensuring a seamless conclusion of your responsibilities will demonstrate your dedication until the last day.

Over the next two weeks, I will diligently complete my remaining tasks and provide any necessary training to support the transition. If there are any additional ways I can assist during this period, please do not hesitate to let me know.

4. The conclusion

To close your email professionally. Express that you still want the best for the company and let them know they can reach out.

I extend my best wishes for the continued success of the company, and I look forward to maintaining contact in the future.
